What to prepare before you talk to a software company

A short checklist that makes your first call useful and your quotation accurate.

A good first call saves weeks later. You do not need technical knowledge; you need a clear picture of how your business runs today. Here is what helps most.

1. Your top three problems

Write down the three things that waste the most time or money today. For example: dealer payments are not tracked, orders get lost on WhatsApp, stock never matches.

2. Who will use the system

List the roles: owner, office staff, salesmen, dealers. For each, note what they need to see and what they should not see.

3. A few real examples

Bring a sample invoice, an order slip, the Excel sheet you use most and the report you wish you had. Real examples make the scope clear.

4. Numbers that shape the design

  • Approximate number of dealers or regular customers
  • Number of salesmen in the field
  • Number of godowns or branches
  • What you use for accounts today: paper, Excel, Tally or other software

5. Timing and budget

Any deadline that matters, such as a new branch or a busy season, and the budget range you are comfortable with. A budget range lets us suggest what fits, rather than the most expensive option.
