What an AMC should cover, and what it should not

How annual maintenance works for business software, with the questions to ask before you sign.

Software needs looking after once it is live: backups, security updates, small fixes and help when staff change. An annual maintenance contract (AMC) makes that predictable.

What a good AMC includes

  • Bug fixes for problems in the delivered software
  • Backups and security updates at a stated frequency: monthly, weekly or daily
  • A response time in working days, so you know when help arrives
  • Small changes up to a stated number of hours each month
  • Staff training, which matters every time someone new joins

What an AMC usually does not include

  • New modules or major changes, which are quoted separately
  • Problems caused by third-party services or hosting outages
  • Changes made by someone else
  • Third-party charges such as hosting, SMS and WhatsApp

Questions to ask before you sign

  1. How is response time counted: working days or calendar days?
  2. How often are backups taken, and can you restore one on request?
  3. Do unused change hours carry forward?
  4. What happens after the warranty period ends?
